2. What Data We Process<\/strong><\/h1>\n

While you browse the website and use our services, we may process the following categories of personal data:<\/p>\n

  • Browsing data: IP address, browser and device type, pages visited, date and time of access. This data is automatically collected by the website\u2019s IT systems and analytics services (see the Cookie Policy) and is used in aggregate form.<\/li>\n
  • Data provided via the contact form: name, email address, phone number (if provided), and message content.<\/li>\n
  • Data related to participation in activities: personal and contact information, date of birth, nationality, and, where necessary, identification document details of individuals who register for or participate in cultural activities, training courses, or Erasmus+ mobility projects.<\/li>\n
  • Images and videos: photographs and video footage taken during the Association\u2019s activities, published on the website or social media channels exclusively with the prior consent of the individuals depicted (or of those exercising parental responsibility, in the case of minors).<\/li>\n<\/ul>\n

    3. Purposes and Legal Bases for Data Processing<\/strong><\/h1>\n

    Personal data is processed for the following purposes:<\/p>\n

    • Respond to requests for information submitted via the contact form or the Association\u2019s other contact information (legal basis: implementation of precontractual measures taken at the request of the data subject \u2013 Art. 6.1.b of the GDPR).<\/li>\n
    • To manage enrollment and participation in cultural activities, courses, and Erasmus+ projects, including the related organizational, insurance, and reporting requirements (legal basis: performance of a contract or pre-contractual measures\u2014Art. 6.1.b GDPR; compliance with legal obligations \u2013 Art. 6.1.c GDPR).<\/li>\n
    • To comply with the obligations set forth in laws, regulations, and European legislation, including the Erasmus+ program rules regarding project management and reporting (legal basis: legal obligation\u2014Art. 6.1.c of the GDPR).<\/li>\n
    • Publish images and videos of activities for the purposes of documenting and promoting the Association (legal basis: consent\u2014Article 6.1.a of the GDPR, which may be revoked at any time).<\/li>\n
    • Send communications regarding the Association\u2019s activities to those who have already participated or who have requested them (legal basis: legitimate interest\u2014Art. 6.1.f of the GDPR; you may object at any time).<\/li>\n
    • To compile aggregate statistics on website usage in order to improve its content and functionality (legal basis: express consent via the cookie banner, where required\u2014Art. 6.1.a of the GDPR).<\/li>\n<\/ul>\n

      Providing the information marked as required on the forms is necessary to process your request; failure to provide optional information does not affect your ability to receive the requested service.<\/p>\n

      4. Methods of Processing<\/strong><\/h1>\n

      Data processing is carried out using electronic means and, to a limited extent, on paper, by implementing appropriate technical and organizational measures to ensure the security, integrity, and confidentiality of the data, and by limiting processing to only the data necessary for the purposes pursued. No automated decision-making or profiling activities are carried out.<\/p>\n

      5. Retention Periods<\/strong><\/h1>\n
        \n
      • Requests for information: up to 24 months from the last contact.<\/li>\n
      • Data related to participation in activities and projects: for the duration of the relationship and, thereafter, for the time required by legal obligations and reporting requirements for European programs (typically up to 5 years from the project\u2019s final settlement) and, in any case, no longer than 10 years where required by civil and tax laws.<\/li>\n
      • Images and videos published with consent: until such consent is revoked.<\/li>\n
      • Browsing and statistical data: in accordance with the terms set forth in the Cookie Policy.<\/li>\n<\/ul>\n

        6. Recipients of the data<\/strong><\/h1>\n

        The data may be processed exclusively by individuals authorized and trained by the Association, or disclosed, within the limits of the specified purposes, to:<\/p>\n

        • technical and IT service providers (hosting, email, website maintenance), who will be designated as data processors where necessary;<\/li>\n
        • the Association\u2019s administrative, tax, and legal consultants;<\/li>\n
        • National Agencies of the Erasmus+ program, the European Commission, and project partner organizations, solely for the purposes of managing and reporting on the projects in which the data subject participates;<\/li>\n
        • insurance companies, lodging facilities, and service providers necessary for the conduct of activities;<\/li>\n
        • public authorities, when disclosure is required by law.<\/li>\n<\/ul>\n

          Personal data is never disclosed to third parties for commercial purposes nor shared outside the cases indicated.<\/p>\n

          7. Transfers Outside the EU<\/strong><\/h1>\n

          Data is generally stored within the European Union. Some technical and statistical service providers (such as web traffic measurement services) may involve the transfer of data to third countries: in such cases, the transfer is made exclusively to entities that guarantee an adequate level of protection pursuant to Articles 44 et seq. of the GDPR (adequacy decisions or standard contractual clauses). Within the framework of Erasmus+ projects, data may be shared with partner organizations in countries participating in the program, subject to the program\u2019s rules.<\/p>\n

          8. Minors<\/strong><\/h1>\n

          Some of the Association\u2019s activities are also aimed at young people and minors. In such cases, the personal data of minors is processed exclusively with prior authorization and with the involvement of those exercising parental responsibility, and the publication of images depicting them occurs only with the express consent of the latter.<\/p>\n

          9. Rights of the Data Subject<\/strong><\/h1>\n

          You may exercise the rights set forth in Articles 15\u201322 of the GDPR at any time, namely:<\/p>\n

          • access your data and obtain information about its processing (right of access);<\/li>\n
          • to have inaccurate or incomplete data corrected or supplemented;<\/li>\n
          • to have your data erased, in the cases provided for by law;<\/li>\n
          • to have the processing restricted;<\/li>\n
          • receive your data in a structured, commonly used format (portability);<\/li>\n
          • object to processing based on legitimate interest, including communications regarding the Association\u2019s activities;<\/li>\n
          • withdraw consent at any time, without affecting the lawfulness of processing carried out prior to the withdrawal.<\/li>\n<\/ul>\n

            This is without prejudice to your right to file a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).<\/p>\n

            10. How to Exercise Your Rights<\/strong><\/h1>\n

            Requests may be sent at any time to the email address info@associazionesinodia.com or by mail to the Association\u2019s headquarters. We will respond without undue delay and, in any case, within one month of receiving the request.<\/p>\n
